What personal information is collected?

In the course of our work, we need to collect some personal information from those we engage with. This is explained as follows:

Our Clients and Service Users

We need to collect certain information about you in order for you to receive a service from us. We may ask you to sign a consent form. However, we will normally process your personal information on the basis that we have your consent or if we believe there is a legitimate interest for us to so do.

In order to provide you with an effective service, we may need to share some of the information you give us with other agencies that we work alongside.

On occasion, we may have to give information to the Police or the Local Authority in order to safeguard and protect children and other vulnerable groups from significant harm or when we have information about a serious crime, or serious risk of harm to an individual.

From time to time personal information which has been anonymised may be shared for monitoring and evaluation purposes. No personal information will be shared without your explicit consent which you can choose not to give.

Our supporters and partner agencies

We collect information about you when you register an interest in supporting us, when we are in contact with you about our services, or when you share information with us that supports collaborative service delivery. We will normally process your personal information on the basis that we have your consent to do so or if we believe there is a legitimate interest for us to so do.

This will include analysing the information we collect about you and using publicly available information to aid our understanding of our supporters, understand the level of potential donations, profile supporters into categories and help provide a personalised service to you on our website content and emails.

This may also include social media promotions. We will always do this in compliance with the rules in relation to direct marketing, including those set out by the Fundraising Regulator.

Applicants for job and volunteering positions

We collect information about you when you register an interest in a job or volunteering position with us. We will normally process your personal information on the basis that we have your consent to do so or if we believe there is a legitimate interest for us to so do.

We will use the information we collect from you to process and consider your application. Your information will only be shared internally, with any referee contacts you may provide, and with the Data Barring Service when you are advised that a DBS disclosure will be required.

You may withdraw your consent for us to hold your data, or amend your preferences or contact details at any time. You should do this through this link: Contact Us. This will take effect within 28 days from receipt of your request. Please be aware, if you withdraw your consent for us to hold your personal information, we will not be able to continue to engage and contact you.

Phone calls

We may record both inbound and outbound phone calls on the basis of our legitimate interest in monitoring our service and training our staff. If there is a dispute, misunderstanding or question about what was said during a telephone call, we may use call recordings to help clarify the contents of conversations we have had.

CCTV

We operate CCTV cameras at our Salop Street and Snowden Street offices for the purpose of safeguarding the safety of our staff, visitors and property. We use these images on the basis of a legitimate interest in the prevention, investigation and detection of crime and to assist the prosecution of any offenders.

How long is my personal information kept?

We will take all reasonable steps to ensure that the information we hold about you is kept secure. We will only hold your personal data for as long as it is required in line with our Information Asset Register (policy ref. D.4 Annex). Retention periods will be based on contractual or legal requirements or good practice. You should get in touch if you require further details on this. Deleting your information may involve either the removal of the data or its anonymisation, meaning that it no longer continues to be personal data that will identify you.

What information does this website collect?

We will deal with your request within 28 days, unless it is particularly complex, in which case we will contact you within this period to let you know that we may need a little more time to address your request.
